Want Your Team to Be More Efficient? Ask Yourself This One Question

Business is already complicated enough without having to remember all of your passwords. Unfortunately, logins and sign-ons are a necessary part of operations, and without them, work isn’t going to get anywhere. All that said, there is a solution to the problem of having too many accounts with too many unique credentials, and it all starts by asking a simple question.

It might feel like a loaded question, but it’s a valid one. Having too many logins can create situations where your team is either bottlenecked or placed at a security risk. Too many logins can create serious problems for your business, and not all of them are as obvious as wasting time signing into every app needed.

Complicated Login Processes Cost Your Business Money

If you’re making your team sign into each and every app they use, you’re setting them up for failure. Here’s why.

The time adds up. If you have 15 employees and they all spend five minutes per day logging on, that adds up. If you multiply 5 by 15 employees, you get 75 minutes of organizational time wasted every single day—over an hour collectively. How else could that hour be used if you could get rid of these repetitive login tasks?

Cybersecurity signage creates security gaps. Reusing passwords or resorting to visible sticky notes are security disasters waiting to happen. If your employees use the same passwords for multiple accounts, what happens when a hacker gets ahold of one? They can then break into your other accounts. Not a fun time.

Employee morale will suffer. There’s something to be said for respecting your employees’ time and energy. When your team has a hard time doing their job because of the tools assigned to them, that’s on you. Own it, then take steps to resolve these issues before your employees burn out (or even leave for good).

If your team uses too many Software as a Service tools, it could lead to your organization dealing with several problems. You might end up with information siloes, redundancies (not the good kind), and wasted resources that could be reinvested elsewhere. Thankfully, there are ways to get around this, and it all starts with getting back to basics.

Ensure Your Team Has the Power They Need

We recommend you take the following approach to your business’ software needs:

  1. Do an audit - Take some time to find out all the solutions you use and how much you pay for them. It’s a good opportunity to cut where necessary, especially if you can eliminate waste.
  2. Consolidate where possible - Once you know which solutions your business makes use of, it’s time to think about how you can better use the tools and solutions you pay for. See if you can use one or two tools to do more tasks, then consolidate down. A good example is using a productivity suite to handle most business tasks rather than a hodge-podge of one-off tools.
  3. Turn on single sign-on - Here’s the big one—you can use an SSO solution to use one set of credentials to access all of your business-critical applications. Talk about a time-saver.
